These Terms and Conditions govern your use of our services, including face-to-face consultations, telemedicine appointments, and any other services provided by the Practice. By accessing or using our services, you agree to comply with and be bound by the following terms and conditions of use, which, together with our Privacy Policy and Complaints Policy, govern Khela Medical Limited’s (trading as Private Medical Clinic) relationship with you as a service user. If you do not agree with any part of these terms, you must not use our services.
2.1 The Practice provides private, fee-paying medical services. It is not a substitute for the UK National Health Service (NHS).
2.2 You are strongly advised to remain registered with an NHS General Practitioner (GP) for ongoing primary care, chronic disease management under the NHS, and emergency services.
2.3 To ensure continuity of care and patient safety, and with your explicit consent, we will routinely send a summary of your consultation and any treatment provided to your registered NHS GP. For certain types of ongoing treatment, providing this consent may be a condition of us providing the service.
3.1 Patients must be at least 18 years old to book appointments and use our services independently. For patients under 18, a parent or legal guardian must consent to and oversee the use of our services.
3.2 By using our services, you confirm that you are legally eligible to do so under UK law and that you are a resident in the United Kingdom at the time of consultation.
4.1 Booking: Appointments can be booked via our website, phone, or in person. A valid payment method is required to secure your booking.
4.2 Cancellation & Rescheduling: When you book an appointment, you reserve a slot that is no longer available to others. To be respectful to all patients, please inform us as soon as possible if you cannot attend by calling 0121 798 0729 or emailing hello@privatemedicalclinic.co.uk. We require a minimum of 24 hours' notice to change or cancel your appointment. Cancellations made on the day of your booking are subject to the full charge and are not refundable.
4.3 Late Arrival: If you arrive late for your appointment, the consultation may be shortened or rescheduled at the discretion of the clinician. The full fee will still be payable.
5.1 Consultation Fees: Fees for consultations and additional services (including but not limited to, prescriptions, investigations, referrals and completion of forms or letters) are listed on our website and subject to change. You will be notified of any fee changes in advance.
5.2 Payment: Payment is due at the time of booking or immediately after the consultation. We accept credit/debit cards, or bank transfers.
5.3 Refunds: Refunds are only provided in exceptional circumstances and at the discretion of the Practice. All refunds incur a 10% administration fee and will only be issued to the original payment card, appearing within 5-7 working days. No refunds are given for medications, prescriptions, vaccinations, tests, or treatments once administered or dispensed. Refunds are also not available for completed services.
6.1 Scope of Practice: Our doctors/clinicians provide general medical advice, diagnoses, and treatment plans. If specialised care is required, you may be referred to a specialist and this is subject to extra charge. Private Medical Clinic health professionals adhere to the guidelines of their respective regulatory bodies (e.g., General Medical Council). Consultations are conducted in accordance with these professional standards. Private Medical Clinic reserves the right to terminate consultations that breach professional ethics or where inappropriate behaviour is exhibited by the User. Refunds for consultations and any other services will not be offered in these circumstances.
6.2 Prescriptions: Prescriptions are issued at the clinician’s discretion and per mutual agreement. Our clinicians issue prescriptions in compliance with the National Institute for Health and Care Excellence (NICE) UK guidelines. Private prescriptions are sent electronically and securely to your phone and email, allowing you to conveniently collect your medication from any local UK pharmacy. We charge a £25 fee for issuing each private prescription, however the total medication charge will vary depending on the medication and the pharmacy’s private dispensing fees (this fee is directly payable to the dispensing pharmacy for the cost of the medication). If our doctor determines that the medication is potentially harmful, inappropriate, unlawful, or illegal, they may decline to prescribe it. A follow-up consultation may be necessary for repeat prescriptions. Any prescription provided is for personal use only. If lost, a copy may be reissued at the doctor’s discretion and may incur an additional fee. The doctor reserves the right to refuse a replacement if deemed inappropriate. You must store medications securely and ensure they are not accessible to others, especially children. Prescriptions provided during a consultation will be valid as indicated on the issued document. If a prescription needs to be reissued due to expiration, pharmacy stock shortages, requests for additional medication, or substitution at the request of the patient, a new treatment request must be made.
6.3 Weight Loss Medications: We prescribe weight loss medications where clinically appropriate and in compliance with UK regulatory guidelines. Not all patients will be eligible for prescription weight loss medication. Eligibility is determined by our clinicians based on medical history, BMI, and other clinical factors. Lifestyle-based weight loss programmes are available for those who do not meet the criteria for medicated treatment. We provide medically supervised weight loss treatments; however, individual results vary, and we do not guarantee specific weight loss outcomes. Any potential side effects or risks associated with weight loss medications will be discussed during consultations, and patients must adhere to medical guidance regarding their usage. We are not responsible for failure to achieve weight loss goals or for any adverse reactions to prescribed medications.
6.4 Limitations on Prescription Services
6.4.1 Chronic and Long-Term Conditions: Our prescription service is not intended for patients requiring ongoing medication for chronic conditions. If a consultation reveals that a patient requires a general or specialist medical review, prescriptions will only be issued after any necessary consultations have been completed and any associated fees have been settled.
6.4.2 Controlled Drugs & Specialist Medications: We do not prescribe controlled substances, specialist medications, or treatments requiring oversight from a specialist clinician.
6.4.3 Dental Concerns: We do not prescribe medications for dental issues, including infections or pain management related to dental problems. Patients requiring dental treatment should consult a dentist.
6.4.4 Discretionary Refusals: We reserve the right to decline consultations or refuse to issue a prescription if, at our sole discretion, it is deemed inappropriate or not in the patient’s best interest.
6.5 Pharmacy Fulfilment and Prescription Validity: Patients are responsible for ensuring prescriptions are filled at a pharmacy of their choice and covering any costs associated with purchasing the medication. Our clinic does not guarantee medication availability at any pharmacy and is not liable for pharmacy-related issues, including stock shortages, errors, or product defects. Prescription services are provided exclusively within the United Kingdom, and prescriptions can only be issued to patients who are UK residents. If you are not based in the UK, you must inform the doctor before the prescription is issued.
6.6 Diagnostic Tests: If diagnostic tests are required, you may be referred for these tests and will be informed of any additional costs associated with this and any procedures.
6.7 No Guaranteed Clinical Outcomes: All clinical decisions relating to treatment, prescriptions, referrals, fit notes, medical certificates, completion of forms or documents, or any other additional Services, are made solely at the discretion of the clinician following an appropriate consultation. Any payment made for a consultation is for the clinician’s time and professional assessment only, not for a specific outcome. If, after assessing the patient, the clinician decides that the requested treatment, document, prescription, or referral is not clinically appropriate, no refund will be issued. Any discretionary refunds will be determined solely by the Practice.
Data Collection: We collect and process personal data in accordance with our Privacy Policy, which complies with the UK General Data Protection Regulation (GDPR) and the Data Protection Act 2018.
Confidentiality: All medical information is treated as strictly confidential and will only be shared with third parties (e.g., registered NHS GP practice, specialists, hospitals, laboratory) with your explicit or inferred consent, except where required by law.
8.1 Accurate Information: You must provide accurate and complete information about your medical history, symptoms, and any medications you are taking.
8.2 Compliance: You agree to follow the treatment plans and advice provided by our doctors. Failure to do so may affect the quality of care you receive and be detrimental to your health.
8.3 Respectful Conduct: You must treat our staff and doctors with respect. Abusive or inappropriate behaviour will not be tolerated and may result in termination of services.
9.1 The Practice will not be liable for any indirect, incidental, or consequential damages arising from the use of our services.
While we strive to provide the highest standard of care, we cannot guarantee specific outcomes or results from consultations or treatments.
